Cancellation Policy

Kitchen Garden (KS2 Only) Year 3 to Year 6 Tuesdays | 3:30 – 4:50 PM Forest School (KS1 Only) Reception, Year 1 and Year 2 Wednesdays | 3:30 – 4:50 PM This initiative is made possible through the collaboration of OrganicLea, trained facilitators, and dedicated DBS checked volunteers. Staffing & Supervision Each session requires two DBS-checked facilitators working on a permanent basis. The adult-to-child ratio is 1:6 to ensure safety and engagement. If we do not have enough volunteers, the session will be cancelled, and parents will be informed in advance. Full refund will be made. Weather Policy Sessions run in all weather conditions—please dress children appropriately. Weather conditions will be assessed in extreme cases, and parents will be informed well in advance if a session needs to be cancelled. Registration & Collection Parents/Guardians must complete a registration form, including emergency contact details and medical information. A password system will be in place for child collection. Late pickups will incur a charge of £5 per 10 minutes. Parents/Guardians are responsible to drop off / pick up. No-Show and other absence including sickness We understand that unexpected situations arise, but please note that we are unable to offer refunds for missed sessions, as we still incur costs for facilitators and materials. If your child can no longer attend, we kindly ask for at least two weeks’ notice so we can offer the spot to another child and manage resources effectively. Payments & Cancellations Cost: £8 per session, payable monthly (4 weeks in advance. Therefore £32 per month). Payments must be made at least one week before the next set of sessions. Lack of payment will be considered a cancellation, and the space will be offered to another child. Cancellations require at least two weeks’ notice. If a session is cancelled by us, parents will receive a full refund for that session. Special Educational Needs (SEN) Policy 1.
